Orka makes it easy to collaborate with your team on projects, proposals, and invoices. Set up roles, invite members, and start working together.
Why it matters
Collaboration improves quality and efficiency. When your team has shared access to projects and clients, everyone stays aligned and work gets done faster.
Before you begin
Make sure you have:
- An admin or owner role in your workspace
- Team members' email addresses
- Clear understanding of roles and permissions
Step-by-step walkthrough
Step 1: Invite team members
Go to Team and click Invite Members. Enter their email and select a role:
- Admin — Full access to manage workspace settings
- Member — Access to projects, clients, and invoices
- Viewer — Read-only access for oversight
Step 2: Assign to projects
Once members accept, assign them to projects. Each member sees only the projects they're assigned to.
Step 3: Set up approval workflows
For milestones and invoices, configure approval workflows:
- Who can approve milestones
- Who can send invoices
- Who can release payments
Step 4: Use the activity feed
Track all team activity in the project feed. See who did what and when.
Step 5: Communicate in context
Use project discussions to keep conversations tied to specific work. No more scattered messages across tools.
Best practices
- Start with Admin and Member roles — add Viewer access for clients who need visibility
- Use approval workflows for financial decisions
- Keep the activity feed updated for transparency
- Review team permissions regularly
Common mistakes
- Giving everyone Admin access — use the principle of least privilege
- Not setting up approvals — financial decisions should require sign-off
- Ignoring the activity feed — it's your audit trail
